The following is a job description for an immediate need on our Scotts Hill church staff:

Responsibilities of the Administrative Assistant to the Associate Pastor of Administration/Families

Principle Function: The Administrative Assistant is responsible for organizing and maintaining personnel activities for Scotts Hill Baptist Church. All records handled are considered confidential in nature. Specific duties include:

  1. Maintain employee time records.

  2. Run payroll reports

  3. Distribute pay stubs to employees.

  4. Maintain employee time away calendar.

  5. Run financial reports as they are requested by supervising pastor.

  6. Maintain files of Invoices/Receipts

  7. Prepare quarterly members’ meeting packets.

  8. Maintain electronic and paper employee files including new employee paperwork and health insurance.

  9. Take church deposit to bank.

  10. Code church bills/invoices for accountant.

  11. Maintain inventory of Checks, Purchase Orders and Window Envelopes

  12. Aid in the organization of key events in the life of the church.

  13. Schedule appointments for those desiring to meet with the Administrative Pastor.

  14. Serve as a signer on the church’s checking account.

  15. Serve as a notary.

  16. Assist in vetting community benevolence request applications and make payments when necessary.

  17. Record payments made toward mission trips and reconcile mission lines monthly.

  18. Read and follow the guidelines, procedures, and policies as set forth in the Personnel Manual.

  19. Perform all other duties as assigned by the Administrative Pastor and/or Office Manager.
